2. Information we collect
We may collect your name, contact details, date of birth, medical history, symptoms, examination findings, treatment notes, appointment information, correspondence and billing details. Information about your health receives additional protection.
3. Why we use information
We use information to arrange appointments, assess and provide care, maintain clinical records, communicate with you, process payments, respond to concerns, and meet legal and professional obligations. We do not sell patient information.
4. Legal bases
Depending on the activity, our lawful bases under UK GDPR may include contract, legal obligation, legitimate interests, consent or vital interests. Health information used for care is generally processed under Article 9(2)(h), with relevant UK legal conditions and professional confidentiality safeguards. Consent to treatment is distinct from the legal basis for record keeping.
5. Security
We take reasonable technical and organisational measures to safeguard records, whether held electronically or on paper. Access is restricted to authorised people.
6. Reminders and communications
We may contact you by phone, text or email about appointments and your care. Marketing communications are handled separately and sent only where permitted by law.
7. Retention
We retain clinical records for the period required by applicable professional guidance and law. Adult records are normally retained for at least eight years after the last appointment; longer rules apply to children and some circumstances. Financial records are generally retained for six years where applicable.
8. Sharing information
We may share information with healthcare professionals, insurers, IT and booking providers, advisers or authorities where appropriate and lawful. We respect confidentiality and seek permission where appropriate, except where disclosure is otherwise legally justified.
9. Testimonials and photographs
We seek appropriate permission before reusing identifiable patient reviews, testimonials or photographs for promotion. Publicly posted reviews are not automatically permission for separate advertising.
10. Website and cookies
Our website and service providers may collect technical data, including IP addresses and online identifiers. Please see the Cookie Policy for details. Our website uses essential technologies to operate securely and may use third-party services for enquiries, website analytics and translation. Where required, optional cookies will only be used with your consent, which you can manage or withdraw through our website's cookie settings.
11. Your rights
You may have rights to access, correct, erase, restrict or object to processing of your information, request portability and withdraw consent where relevant. Some rights have exceptions, including requirements to retain clinical records. Contact maria@harboroughchiro.co.uk. We normally respond within one month, subject to lawful extensions.
12. International transfers
If providers process personal information outside the UK, appropriate lawful safeguards will be used.
13. Complaints
Please contact us first if you have concerns. You can also complain to the Information Commissioner’s Office at www.ico.org.uk.

We may update this policy and publish the revised version here. Contact: Market Harborough Chiropractic Clinic, 4 Davies Close, Market Harborough, LE16 7ND; 01858 464680; maria@harboroughchiro.co.uk.
